Getting Started with CollabPortals

Learn how to set up your first data collection portal connected to Airtable in minutes.

What is CollabPortals?

CollabPortals lets you create branded portals that connect directly to your Airtable bases. Your team, clients, or collaborators can view, create, edit, and delete records through a clean interface, without needing Airtable access.

You control exactly what each user sees and can do through granular table and field-level permissions.

How It Works

Your Airtable base is the source of truth. CollabPortals reads your base structure, lets you configure permissions, and generates a shareable portal URL. End users authenticate with their email and interact with your data through the portal.

You manage your data in Airtable as usual. CollabPortals sits in the middle, controlling who sees what. Portal users interact with a clean interface and never touch Airtable directly.

Quick Start

    Connect your Airtable account

    Link your Airtable account via OAuth. CollabPortals will be able to read your bases, tables, and fields. See Connecting Your Airtable Account for details.

    Create a portal

    Select an Airtable base, choose a user table (for linking records to portal users), and pick the email field. Give your portal a name and it gets a shareable URL. See Creating a Portal.

    Set permissions

    Configure which tables are visible, and what actions users can perform: view, create, edit, or delete. Set field-level permissions to control exactly which fields are visible or editable. See Table Permissions and Field Permissions.

    Share the link

    Share your portal URL with end users. They log in with their email, receive a verification code, and can start working with your data immediately. See Sharing Your Portal.

What You'll Need

  • An Airtable account with at least one base
  • A base that includes a table with user email addresses (this becomes your "user table")
  • A CollabPortals account (free trial available, no credit card required)

If you don't have an Airtable base yet, create one with a "Contacts" or "Users" table that has an email field. This is what CollabPortals uses to identify portal users and link them to their records.
