Conditional Formatting for Your Airtable Portal

Color the rows and cards in your Airtable portal that match a rule, like overdue work orders in red, in table, gallery, board and calendar views. Set per role, and never on a field the role cannot see.

A table of fifty work orders where the three overdue ones are red is a different table to scan than the same fifty rows in one color. Without it, someone reads every Status cell to find the ones that matter.

Conditional formatting does that reading for them.

What it does

A rule is a color and a condition: "red where Status is Overdue". Matching records are tinted in:

  • Table view, the whole row, including grouped tables
  • Gallery view, each matching card
  • Board (kanban) view, each matching card, which keeps its color while it is dragged
  • Calendar view, each matching event
  • A table shown as a related tab on another record's page

Ten colors are offered, the same hues Airtable uses for select options, painted in a soft tint so a table with several highlights stays readable. Rules can combine conditions with all or any, and when a record matches two rules, the higher one wins.

Why it matters

It works the way Airtable's own conditional formatting does, and uses the same hues, so the rules you set up can echo the color coding your team already uses in Airtable. A client sees which of their orders is running late, and a contractor sees which jobs need a visit this week, without being told.

It never gives a hidden field away

A rule built on a field a role cannot see does not apply for that role. If it did, the tinted rows would reveal the column you hid. Formatting is display only: it never changes which records someone sees or their order.

Every tinted row and card also carries a marker and a description screen readers announce, so color is never the only signal.

How it works

Open a table's Display tab and add rules under Conditional Formatting, for each role. The conditional formatting guide covers the operators for each field type, rule order, and which fields can and cannot back a rule. The FAQ view is the one view that does not show rules.

Who it is for

Any portal where some records need attention first: order tracking, construction and inspection portals, service businesses with a backlog of jobs, and employee portals with requests waiting on approval.
